A First-Timer’s Complete Guide




If you know me at all, you know that Disney Cruise Line holds a very special place in my heart. I’ve sailed myself, I’ve planned cruises for countless families, and honestly? Every single time I’m back on a Disney ship I fall in love with it all over again. The food, the entertainment, the way the crew remembers your name and your kids’ names β the attention to detail is just unlike anything else. There is truly nothing I have found that compares to it, and I say that as someone whose entire job is planning magical vacations.
So naturally, when my clients started booking their first DCL sailings, I started noticing the same thing happening over and over again β the check-in process was stressing people out. And I get it! If you’ve never done it before, it feels like a lot. There are photos to gather, documents to submit, decisions to make at midnight (yes, literally midnight), and nobody tells you any of this upfront.
That’s why I made this guide. Part of it was for my clients, part of it was because I genuinely wish something like this had existed when I was first learning the ropes, and part of it is just because I love Disney Cruise Line so much that I want every first-timer to walk into that check-in window feeling calm, prepared, and excited β not scrambling.
So whether you’re 30 days out or just starting to dream, this one’s for you. Let’s get you ready to sail.
Don’t panic β here’s exactly what to expect and what to prepare
If you’ve never sailed Disney Cruise Line before, the online check-in process might feel a little overwhelming the first time β but I promise it’s totally manageable once you know what to expect! This guide walks you through everything step by step so nothing catches you off guard.
The big thing to know upfront: your check-in window opens at exactly midnight, 30 days before your sail date. That means if your cruise leaves on June 15th, your check-in window opens at 12:00 AM on May 16th. It’s one of those things experienced cruisers set alarms for β and once you see why, you’ll understand!
The reason timing matters so much: the earlier you complete check-in, the better your port arrival time will be. Earlier arrival times fill up fast, and they let you board the ship sooner so you can start enjoying all the magic before the crowds arrive.

Before your window opens, you’ll want to have a few things gathered and ready to go. Some of it your travel agent can handle for you β which is a huge help! β and some of it you’ll need to do directly in your own Disney account. Here’s the full breakdown.

Your agent can enter each guest’s passport details into the check-in system for you. All you need to do is snap a clear photo of the photo page of each guest’s passport β that’s the page with the name, photo, and expiration date β and send it over to them.
Just the photo page is all they need. Keep your actual passport somewhere safe!
If you’re flying to the departure city, your agent will enter your flight details as part of check-in. Just share your flight numbers, departure times, and arrival times for any flights connected to your cruise. You don’t need to include hotel information β just the flight details.
You’ll need to provide the name and phone number of someone your agent can list as an emergency contact. This has to be a person who is not traveling with you on the cruise β think a family member or close friend back home.

This one surprises a lot of first-time cruisers! Every single guest β kids included β needs their own security photo uploaded before you board. Disney uses these photos to identify you when you get on and off the ship throughout the cruise. Think of it like a passport photo that lives in their system.
The good news: your travel agent can upload these for you once you send them over. You just need to take the photos yourself since they need to actually look like you right now!

Log into the Disney Cruise Line app or website with your Disney account to complete the following. Your agent can’t access your payment info or personal family forms for security reasons, so these need to come directly from you.
You’ll set up a credit or debit card to use as your onboard account. On a Disney cruise, you don’t carry cash around the ship β everything gets charged to this card. That includes drinks, spa treatments, specialty dining, gifts from the shops, and any other extras you pick up along the way.
This has to be done by you directly in your Disney account for security β your agent won’t have access to enter payment info on your behalf.
If your kids will be using Disney’s kids clubs (which are seriously amazing, by the way!), there are some forms to fill out covering things like allergies, medical information, and pickup authorization. Because these forms contain personal information about your children, Disney requires you to complete them yourself β your agent can’t fill these out on your behalf.
Here’s where it all pays off! Once your check-in is complete, you’ll get to select the time your family arrives at the port to board the ship. This is exciting because earlier times fill up fast β typically within the first hour or two after the check-in window opens.
If you want to be on that ship by 11 AM enjoying a poolside lunch while others are still waiting to board, this is your chance to make that happen. It’s genuinely one of the best reasons to have everything prepped and ready to go at midnight!
